Accounting Assistant
JOB SUMMARY:
Location: Irvine, CA
The Accounting Assistant will support most aspects of accounting, and will also perform various administrative duties. Successful candidates should have minimum 3 years accounting experience. This position must be on-site, working from our Irvine headquarters full-time.

KEY RESPONSIBILITIES:
Prepare General Ledger entries by maintaining records and files.
Reconcile accounts including AR, AP, Payroll, Banking, Inventory, etc.
Assist in preparation of financial, accounting, and sales reports for management
Maintain and balance the general ledger to ensure accuracy.
A/P - Enter AP bills, Credit Card receipts and make payments
A/P - Reconcile credit card statements
A/P - Control petty cash
A/R - Follow up customers payments
A/R - Dispute and follow up on short paid and chargebacks
A/R - Issue Credit Memo
A/R - Receive payment and enter in QB
A/R - Scan and deposit checks online
A/R - Send PayPal request to customer
General filing
Scan documents and organize digital filing
Check and verify Resale Permit of Customers
Communicate with carriers if have problems on bills/shipments
Assist in projects as instructed by management
Enter PO in QuickBooks and prepare paper works for shipments
Prepare Proforma Invoices
Charge customer credit card for shipments
Update customers credit card info in Credit card portal
Provide tracking information to customers by uploading to websites or e-mail to customers
Create invoice and ASN at customers' websites
Other duties as assigned.
QUALIFICATIONS/EXPERIENCE:
  • Minimum of 3 years full GL Accounting experience; accounting experience within a private company preferred.
  • Must have knowledge and experience with classic ledger accounting.
  • Minimum 2 years experience in QuickBooks (QuickBooks Pro or Enterprise), and competency in MS Office
Suite, including Outlook, Excel, and Word.
  • Detail-oriented.
  • Ability to work effectively with minimum supervision.
  • Superior multi-tasking capabilities with the ability to work well under pressure in a fast-paced, team- oriented environment.
  • Professional demeanor and positive, can do attitude.
